See Every Employee’s Training Gaps on One Screen — Plus One-Click Certificate Renewals (Patreon)

You can now see every employee, every required course, and every expired or missing certificate on one visual screen, and close those gaps in a few clicks.

Before this, finding out who was out of compliance meant opening employees one by one and checking dates by hand. Renewing a certificate was manual too, and you had to keep track of the old one yourself so the history didn’t get lost. That kind of checking eats an afternoon, and you still can’t be sure you didn’t miss someone.

The new Training Matrix lists your employees by department against every course, with clear markers for valid, due within 60 days, expired, and missing, plus compliance percentages for each course and each employee. You can sort any column with a single click, filter by department or site, and switch on show only employees with gaps, while the KPIs at the top update as you filter. Courses now have a validity period in months, so certificates expire automatically, and each course can carry its own certificate prefix with automatic numbering (FLT for forklift, for example), so you know what a certificate is just by reading its number.

The part I think you’ll use most is the new one-click Renew button on each employee’s certification tab. It issues a fresh certificate dated today with the next number and the right expiry date, moves the old one into history as superseded (shown in gray), and logs the renewal with course hours in the training log. Completed sessions now create certificates automatically as well. I also added a Training Budget that pulls straight from each course’s cost, showing spend this year, spend over the last 12 months, overdue renewals, and renewals coming up in the next 90 days. The dashboard now shows training spend by department instead of employees by site. I also fixed the axis on the expiring-per-week chart, gave the new spend chart the app’s color palette, and added an option to hide headings in the schedule.
